Job Description
Provide high-level operational, administrative, and travel management support to the Executive Office. Ensure smooth functioning of the Executive environment, support Partners and Directors with reliable coordination, and oversee national travel logistics for staff across service lines (Audit, Advisory, Tax, Support).

Key Responsibilities

  • Serve as the primary coordination point for the Executive Office (supporting People & Culture Leader, CFOs Office, Managing Director, other executives).

  • Manage complex diaries for multiple executives; prioritise meetings, client engagements and firm events.

  • Prepare high-quality documents, presentations, reports and communications aligned with corporate style.

  • Support internal governance activities and handle confidential information with discretion.

  • Liaise with P&C, Finance, Risk, IT and Marketing to ensure efficient information flow.

  • Assist with firm-wide events (Town Halls, Training, Quarterly reviews).

  • Manage Executive Office administration (record keeping, document control, procurement requests, invoice processing).

  • Act as support for office coordinators and planning of staff on GreatSoft and ProcureWise; create Purchase Orders on Maconomy.

  • Oversee and manage all staff travel: book flights, accommodation, car hire and shuttles in line with Travel Policy; negotiate preferred rates and maintain supplier relationships.

  • Produce detailed itineraries and provide real-time assistance for travel changes, delays or cancellations.

  • Maintain national travel database, travel reports, dashboards and monthly cost summaries; support peak-season travel planning.

  • Ensure safe-travel protocols for employees visiting client sites, including high-risk/remote areas.

Minimum Requirements / Qualifications

  • Diploma or Degree in Office Administration, Business Management or equivalent.

  • 5–7 years’ experience supporting senior executives or managing a corporate travel desk (consulting/advisory/audit professional services preferred).

  • Proven diary management, document preparation and stakeholder engagement skills.

  • Strong negotiation skills for supplier and travel rate management.

  • High level of discretion handling confidential information.

  • Proficiency with MS Office; experience with Maconomy, ProcureWise, GreatSoft or travel booking systems advantageous.

  • Excellent communication, organisation and time-management skills.
