Job Description
Job Purpose
The Office Coordinator supports efficient day-to-day operations by providing comprehensive administrative, coordination, and operational assistance across the General Assurance division.
Key Responsibilities
Administrative Support
-
Business unit diary management
-
General admin duties: photocopying, scanning, mailing, archiving, filing
-
Prepare reports, presentations, and documents
-
Centralized travel desk management
-
Events and functions management
-
Assist Directors with expense claims
-
Reporting for BU
Scheduling & Coordination
-
Coordinate meetings, conferences, training, and events
-
Manage Directors’ diaries
-
Arrange travel and appointments
-
Call screening & Teams meeting setup
-
H&S rep reporting
-
Regional PO management
-
Communicate project updates to regional GOA
Data Entry & Record Keeping
-
Knowledge management/BI representative
-
Maintain updated records and accurate data
-
Create POs & follow-up with Finance
-
Track department expenses and reimbursements
Support for Staff
-
Facilitate travel desk requests
-
Assist colleagues with tasks and special projects
-
Track LearnConnect compliance & submit L&D reports
-
Manage office equipment, maintenance, and stock

Report to GOA Forum

Assist with Risk management requirements

Support tender preparation with centralized tender unit
Technology Proficiency

Use Word, Excel, PowerPoint & presentation tools

Basic troubleshooting and coordination with IT

Format presentations for Directors and staff
Minimum Requirements
-
Office Administration Diploma
-
Proficient in Excel and PowerPoint
-
3–5 years administrative or PA experience

Strong organizational and multitasking abilities

Excellent communication skills
-
Proficient in Microsoft Office Suite

Attention to detail and problem-solving skills
-
Ability to work independently and in a team
