Job Description
The Office Coordinator plays a vital role in maintaining smooth operations within the Technical and Digitech division by providing comprehensive administrative, coordination, and travel management support to ensure efficient day-to-day functioning.
Key Responsibilities
Administrative Support
-
Perform general administrative duties: photocopying, scanning, mailing, filing.

Prepare reports, presentations, documents, and proposals aligned with SNG branding.
-
Assist with asset control nationally.
-
Manage centralised travel desk bookings (flights, car hire, accommodation).
-
Support Head of Department, Directors, and Managers.
-
Handle client emails on behalf of the department head.
-
Arrange travel plans, itineraries, agendas, and related documents (visas, forex).
-
Ensure proper onboarding/offboarding of subcontractors.
-
Prepare documents for quarterly EXCO and MANCO review.
-
Screen incoming calls and handle queries.
-
Reconcile credit cards monthly.
-
Create POs for suppliers and maintain subcontractor listings.
Scheduling & Coordination
-
Schedule and coordinate meetings, events, conferences, and training.

Manage diaries for Directors.
-
Arrange Teams meetings and conference calls.
-
Oversee department PO management.
-
Support communication with regional office administrators.
Data Entry & Record Keeping
-
Enter data accurately and maintain updated departmental records.
-
Track expenses and reimbursements.
-
Ensure tender documents are completed and submitted on time.
-
Prepare tenders (non-technical components).
-
Attend events on behalf of the department.
-
Update marketing materials and brochures.
-
Update CRM (HubSpot) weekly.
Support for Staff
-
Conduct research and track legislative/standard updates.
-
Organise department training.
-
Assist with thought leadership publication.
-
Support colleagues with tasks and special projects.
-
Provide training officer support.
-
Handle office equipment and stock management.
Technology Proficiency
-
Use office software (Word, Excel, PowerPoint).

Troubleshoot basic IT issues and coordinate with IT.

Format presentations and provide client engagement support.
-
Collaborate on risk, quality, and resource allocation.

Follow up on client surveys and reference letters.
Training Programme Support
-
Track competencies and schedule required training for trainees.

Maintain training trackers and follow-ups.
Tax-Specific Research & Training
-
Conduct daily research on tax developments from OECD, ATAF, SARS, Treasury, etc.

Maintain development trackers for training, comments, and publications.
-
Coordinate dry runs, training bookings, and timelines.
-
Track participation requirements for SAIT, SAICA, SARS activities.
African Desk Support
-
Track tax developments across African countries.
-
Communicate updates and request commentary.
-
Follow up on outstanding information and tender requirements.

Maintain updated contact lists and targets.
-
Support research on client operations across jurisdictions.
Webinars & Industry Participation
-
Track industry events and coordinate participation.
-
Plan webinars with relevant teams and marketing.
Minimum Requirements / Qualifications
-
Office Administration Diploma
-
Proficient in Excel and PowerPoint
-
3–5 years proven administrative or personal assistant experience

Strong organisational, multitasking, and communication skills
-
High attention to detail

Proficient in Microsoft Office Suite

Ability to work independently and in a team
